Academics

  • WCMA be open to Williams students, faculty, and staff, for class use and by appointment for individuals and small groups. The museum is not open to the public at this time, and drop-in visits are not possible. Please visit the WCMA website for more details about the fall semester.

  • Yes, although access will be restricted to current faculty, students and staff. Hours may be modified. And users will be expected to follow campus social-distancing and hygiene guidelines. Visit Williams Libraries for updated hours.

Campus Life

  • The college has conducted a comprehensive review of campus buildings and spaces. Engineers measured airflow rates and are upgrading the filters in our heating, ventilation and air conditioning systems to a MERV 13 rating or higher. Wherever possible, they’re also adjusting building automation settings to meet or exceed ventilation standards established by ASHRAE, the American Society of Heating, Refrigerating and Air-Conditioning Engineers. In enclosed spaces, windows should be kept open as much as possible. These moves will help us ensure sufficient air exchange and filtration for everyone’s safety.

    To align with this guidance, occupancy of dorm rooms will be limited to the students assigned to each room, and occupancy of enclosed offices will be limited to one person at a time. Departments are developing reopening work plans that include provisions for office schedules, remote work and other strategies that will reduce the need to share enclosed spaces.

Dining

  • No. The Faculty House and catering operation will be closed.

Health

  • After their initial in-room quarantine, students living on-campus are required to remain on campus at least through September (this Google Map defines what is considered campus for this purpose), and they may not visit off-campus houses until after the on-campus quarantine ends. Once the on-campus quarantine ends (if the health conditions permit), students will be able to move freely within Berkshire County, but will not be permitted to travel outside of the county for the duration of the semester. The only exceptions to this policy are medical or family emergencies. Students living off campus are free to travel within Berkshire County as soon as they clear their initial in-room quarantine.

    After their initial in-room quarantine, students within the same “pod” may socialize within their residential space without masks or social distance. Those who are not in the same pod are allowed to go inside other students’ spaces as long as they are wearing masks, engaging in social distancing, and not exceeding the limits of the number of students that can safely be in the space. All students should wear masks during outdoor gatherings unless they are able to maintain 6 feet of distance from others.

    The size limit for all informal student gatherings is 10 or fewer students (students who have pods that are larger than 10 may gather with all of their pod members, but in this case, no additional guests are permitted). This includes on-campus residence halls, off-campus residences, and any other gathering places — both indoors and outdoors. Students living off campus must follow the same rules regarding social interactions and gatherings, with the exception that off campus houses might have larger indoor gathering spaces that can accommodate more than 1-2 non-pod guests.

    Hygiene and sanitation are our shared responsibility. Everyone on campus will be asked to regularly wash and sanitize their hands, especially before using shared spaces, and to wipe high-touch surfaces after contact. Sanitizing spray and cloths will be stationed in locations across campus. We’ll each be responsible for removing our own trash and recycling from offices.

    Faculty and staff in frequent and/or regular in-person contact with other faculty, staff or students will be required to get tested weekly. Those likely to come to campus or interact in these ways even occasionally are encouraged to get tested weekly even though it’s not required. The greater the share of our community tested, the more we can limit the risk of contagion.

    We’ll use a minimally invasive swab of the lower nasal cavity (just inside your nostril), known as an “anterior nares swab.” You’ll be asked to self-administer the swab in the presence of trained observers, who’ll collect your sample for testing. Samples will be tested by the Broad Institute of MIT and Harvard. They’ve assured us of their ability to meet our testing needs and will return the results in 24 to 48 hours.

    Testing will start the week of Monday, August 17, and will be offered from 8 a.m. to 5 p.m. every weekday. An online portal and app will be used for scheduling.

    Testing will take place at the Whitman Street garage and include walk-up and drive-by options, both by appointment only. All required faculty and staff will be sent a scheduling link for Snapappointments to make appointments. We ask that you please enter your name only once a week into a time slot, as we need to make sure we have room for everyone to be tested.

    You must bring your Williams College ID to the testing site, as you cannot be tested without it (temporary employees will be issued IDs). Professional EMTs will be on site to witness each test. You must blow your nose just prior to testing, as solid matter will interfere with the test’s accuracy. Tissues will be provided at the entrance to all testing sites; if you have not blown your nose right before coming to the testing site, you will be asked to step aside and blow your nose.

    Only people who are asymptomatic should come to a testing site. Faculty and staff who are experiencing symptoms of COVID need to contact their PCP, and students need to call the Health Center 413-597-2206.

    The Broad Institute has applied to the FDA for approval for an unobserved, self-administered test. When they get that approval, we plan to switch to these unobserved tests on a walk-up basis for faculty and staff to make it more convenient.

    Essential employees who have already been working may continue working while awaiting test results. Everyone else will be asked to remain off-campus until they’ve received their results. Negative results will be available in the online portal and app, clearing you to come to campus.

    If you test positive, several steps will follow:

    • You’ll be notified by a healthcare professional and instructed to contact your primary health care provider, who’ll be responsible for your care.
    • Notification will also be sent to the Office of Human Resources, and medical personnel will notify state officials.
    • A member of the state’s contact tracing team will contact you, and you’ll be expected to participate fully in their tracing efforts.
    • Do not come to campus until you have been cleared by your physician and by the college to return.

    Faculty members who are asymptomatic or only mildly ill may be able to continue teaching remotely. If you are unable to teach for medical reasons, please contact your department or program chair about class coverage. Note that you are not required to share your diagnosis.

    Asymptomatic staff and faculty are expected to remain off campus for a minimum of 10 days after the date of the positive result. If your physician finds that your illness requires a more extensive medical treatment and leave, please provide documentation to Human Resources. You will be required to provide a medical clearance to return to work to Human Resources. The college may require that you seek followup testing or supply medical documentation and a physician’s release.

    We’ve arranged with the Eli and Edythe L. Broad Institute of MIT and Harvard to provide testing via a minimally invasive, self-administered nasal swab, and conducted under observation by a trained professional. All testing will be free.

  • Most people arriving in Massachusetts—including Massachusetts residents returning home—are instructed to self-quarantine for 14 days, per state guidelines. As of Aug. 1, 2020, also per state guidelines, travelers to Massachusetts from the states of Connecticut, Hawaii, Maine, New Hampshire, New Jersey, New York and Vermont are exempt from this directive and need not self-quarantine for 14 days. Workers designated by the federal government as essential critical infrastructure workers are exempt from the directive to self-quarantine for 14 days if traveling to Massachusetts for work purposes. No one should travel to Massachusetts if they are experiencing symptoms of Covid-19.

  • At this time, we are not planning regular temperature checks for all employees. It may be required in some departments, like the Health Center. Check with your department’s supervisor for more information.

  • Faculty and staff members who are sick or experiencing Covid-like symptoms should not report to campus. Students already on campus should remain in their dorm rooms until they can be evaluated and treated or cleared by Student Health and Wellness Services via telemedicine.

  • Employees will be able to apply for an exemption or accommodation through Human Resources, providing appropriate documentation when necessary. The application form will be available no later than July 15.

  • We recognize that there are vast differences in the types of personal trips employees may have planned. If a personal trip involves a trip via an airplane or requires staying overnight away from home, please work directly with your manager or supervisor on your return to work protocol. Some employees may be able to quarantine at home and continue working. However, if a trip, based on the state guidelines, is deemed to require time for quarantine, employees may be expected to take this time as vacation or personal time.

  • In keeping with public health recommendations and state requirements, everyone will be required to wear a mask on campus, whenever we’re indoors (except when in a closed office or in one’s student pod) or within 6 feet of other people, even when outdoors.

    Masks must be either multiple-layer fabric face masks with a tight weave or paper surgical masks, and they must fully cover both your nose and mouth. Studies indicate that bandanas, neck gaiters and buffs, and exhalation valves don’t prevent droplet spread, so they are not allowed as substitutes.

    The college will distribute three reusable fabric face coverings to all students, faculty and staff working on campus. You’re welcome to augment these with your own personal masks, as long as they meet the standards noted above.

  • Subject to limited medical or religious exemptions, staff and faculty will be expected to receive a seasonal flu shot and be vaccinated against Covid-19 when that vaccine is available.

  • Gathering spaces and places of shared touchpoints will be closed. Kitchenettes and break rooms will be open for handwashing and access to drinking water only. Refrigerators, microwaves, coffee machines and small kitchen appliances will be disabled or removed from all faculty and staff kitchenettes and break rooms. This may include personal appliances in these spaces. Automated hand dryers will be disabled, and paper towels will be distributed across campus.

    Conference rooms will either be closed or limited to use by one person at a time. Anyone using a conference room or a shared space will be expected to sanitize it afterward. All meetings should be held online via Meet or Zoom. In-person meetings are still strongly discouraged.

    High-touch shared office equipment will be disinfected at least daily. Even so, everyone should wash and sanitize their hands before using the device (to protect subsequent users) and after (to protect yourself).

    Drinking fountains with push buttons, which require users to place their mouths near the water source, will be disabled. Bottle filling stations, water bubblers and sinks will be kept in operation so people can fill reusable water bottles. Refilling stations maintained by Dining Services have been converted to touchless dispensers.

    Individual departmental work plans will address these spaces in detail, and some exceptions will be granted based on protocols developed by your department or necessary accommodations. Please consult your manager or supervisor on your individual departmental work plan.

  • At this time, the REC center will remain closed based on state guidelines. Please contact the Controller’s Office for information about community REC pass refunds or memberships.

  • Employees will be able to apply for an exemption or accommodation through Human Resources, providing appropriate documentation when necessary. The application form will be available no later than July 15.

  • Vacation maximums are not being adjusted. Staff are encouraged to take time off when possible.

  • We understand not every work task can be done remotely. Staff should use the pandemic earning code to log any non-work hours in their standard week.

  • Staff in eligible jobs will continue to receive the shift differential. We expect this will continue until we reach Phase III in the Massachusetts reopening plan.

  • The college has paused hiring of many vacant positions. We will hire temporary staff only in exceptional cases. As departmental needs evolve, there may be opportunities for cross-departmental collaboration for individuals to help in other areas of the college.

Remote Working

  • Employees who have successfully worked from home should continue to do so unless the operational needs of a department dictate otherwise.

    Departmental work plans are being developed by each department to determine which staff members will return to work on campus and when; this will vary based on departmental needs.

    Staff should work with their supervisor/department head to establish which work, if any, can be done remotely and which tasks require being on campus. There is no “one size fits all” approach even within employee categories due to the vastly different nature of types of work that exist.

  • The college has been very flexible with lending equipment and advising staff to take desktops computers home. The Office of Information Technology will not be able to supply individuals with dual setups, but it remains available to provide guidance on remote setups.

  • It is important to maintain regular communication and clarify expectations with your supervisor. It is inevitable there will be disruptions and changes to typical workloads. As departmental needs evolve, there may be opportunities for cross-departmental collaboration to help in other areas.

  • We’re closely watching local school districts’ efforts to resume K-12 education. Multiple districts have already announced some form of remote or hybrid approach. We recognize how important school plans are to many people’s ability to work. If your childcare responsibilities present scheduling or workload issues, please start by talking to your supervisor about options. If a more formal accommodation is needed, you can initiate that process by completing this form on the HR website. We will do our best to accommodate each situation. All faculty members have the option to teach their courses remotely and may shift from in-person to remote instruction during the semester, if needed.
