Vehicle Policies and Reservation Requests (Please be sure you read the policy.)
RESERVATION FORM at the bottom of this page. The Center for Community Engagement manages one 5-passenger station
wagon and one 6-passenger mini van. The vehicles administered by the
Chaplains’ Office and Center for Community Engagement are used for travel related to community service only.
Specifically, they are available for transporting students, faculty and/or
staff to and from community service sites, or conferences or other
regional events related to the enrichment of student volunteerism, or for
other appropriate short errands related to the continuing service
partnerships between the college and community agencies or projects.College vehicles may not be used for personal errands of
any kind.
Eligibility
Only licensed student drivers
who have been certified by the College Cars at Facilities are eligible to sign out or drive the community service
vehicles. The Center for Engagement reserves the right to decline the reservation
request of any student who has previously failed to abide by these
policies.
Reservations
Reservation requests are
handled on a first-come, first-served basis.Note, in particular, that vehicle reservations must be renewed at
the beginning of each term of the year: the fall semester, the
beginning of Winter Study, the spring semester, and the summer
months. Even if the continuing service projects are involved, we ask
student program coordinators and group heads to reconfirm their
transportation plans with us at these times, so that we can be sure that
our schedule of use is up to date.Any trips of more than 75 miles round trip will be
cleared with the office staff in advance.If a vehicle previously reserved will not be used – as
a result of illness, cancellation, weather, etc. – the student who made
the reservation must inform the office staff, so that it can be available
for appropriate use by others.
If neither of the
community service vehicles is available at the time desired for a
particular community service project, the office staff will work with the
student to arrange for use of another vehicle in the Facilities fleet, if
available. We cannot guarantee, however, that transportation can be
provided; all vehicle allocations are handled on a first-come,
first-served basis.
Responsibility
Each key is signed out to
the student who will drive the vehicle. It is expected that
the student who signs for the key to the vehicle will be its only driver
for the specified period. By signing out the vehicle, this
student accepts responsibility for any damage to the vehicle or
other accidents or mishaps that may occur during the time when the vehicle
is signed out.
Picking up and returning
vehicles Keys must be picked up from Nancy Luczynski
in 205 Paresky between 8 am and 3 pm Monday through Friday (except
holidays). Students who do not pick up keys by 3
pm cannot be guaranteed access to vehicles.
Vehicles are to be returned to the designated parking
spaces on the top level of the parking garage (located behind the '62 CTD) immediately after the conclusion of
each project or service outing. Keys and mileage slips must
be returned to the Chaplain’s Office immediately after the conclusion of
each project. In no case should the keys be in a student’s
possession overnight. There is a key return box on the wall just to the right of the Chaplains' Office entrance door.
Vehicles should never be returned with less than one-third of a
tank of gas. If the fuel level falls below one-third, it is
the student driver’s responsibility to make time for the tank to be
refilled before returning it. The pump behind Facilites B&G can
be used during normal business hours. Students using their personal funds
to buy gas can be reimbursed, but only with a receipt from the
vendor.
Any mechanical problems, damage or accidents must be
reported at the time the vehicle is returned.
Trash, supplies and all other belongings must be
removed from vehicles before they are returned.
