At Williams

College events are publicized primarily through At Williams, a listing of public events on and around campus. At Williams is an online publication and is updated daily. To be included, events must be open to the public and meeting space must be confirmed (request space using the Room Scheduler).

The news office selects from At Williams lectures and special events of interest to a wide audience to list in the local media’s Events Calendars (such as the Berkshire Eagle, North Adams Transcript, Advocate, and iBerkshires). Listings for the local media calendars are prepared three weeks before the event.

Daily Messages

Daily Messages are emailed on weekdays to all Williams faculty, staff, and students. You are responsible for submitting the Daily Message for your event.

Event releases

For Faculty and Staff

If requested, the news office will write and distribute promotional releases for academic department-sponsored public events held in Brooks-Rogers, Bronfman Auditorium, Chapin Hall, Lawrence 231, Thompson Chapel, and Wege Auditorium; and for academic events held in the ’62 Center. Information about the event must be submitted 14 days before the event to Jo.Procter@williams.edu or 597-4279.

The news office does not do publicity releases for events held in smaller venues; these are promoted through At Williams, except for series or a conference. For series or conference publicity, please contact Jo Procter at Jo.Procter@williams.edu or 597-4279 at least three weeks before the event(s) to discuss publicity options.

For Students

Student organizations are expected to write and distribute their own event releases. See "Writing an Event Release" and "Submitting an Event Release" in Guidelines for Student Events.


Campus Calendars

Williams Campus Calendars list events booked through the Williams Room Scheduler. Contact Gail Rondeau at grondeau@williams.edu or 597-4747.


The Daily Advisor

Submit announcements to submit@wso.williams.edu by 3 p.m. on the day prior to publication. Put the dates the ad is to run in the subject line. Cost is $1 per ad per day. The DA is a student publication.


The Williams Record

The student-run newspaper is published weekly on Wednesdays during the academic year. Copy deadline is Friday afternoon. For rates and submission instructions, see www.williamsrecord.com.


WSO Announcements

Be sure to post your announcement in the relevant section: Announcements, Exchange or Lost & Found. Likewise, ride requests should go on the Ride Board and job offers on the Job Board. wso.williams.edu/announce


WCFM Williamstown 91.9 FM

Posters and flyers

OIT offers workshops in poster design (InDesign). Additional help is available in Jesup 316 from 2-5 p.m. M-F, and in Studio 101 on the first floor of Jesup (597-4414).

Camera-ready color posters may be duplicated at Office Services for a cost of $1.06 per 11x17-inch image (other sizes are available). Office Services can also duplicate camera-ready flyers and distribute them via campus mail for a nominal cost.

McClelland Press (413-458-4248), Beck's Printing (413-664-7411), Adams Specialty Printing (413-743-9101), and Crae Printing (802-442-6711) also print posters. Call for requirements and prices.


Word of mouth

Let your colleagues, students, and friends know about the event through office/department, classroom, and dorm announcements.
