ORGANIZATIONAL TIPS FOR
FACULTY USING DIGITAL IMAGES

No matter which digital viewer and presentation software you choose to use, there are some basic electronic organizational tips that can help keep putting together lectures smooth and headache free.

  • Keep all digital images that you collect from sources other than Content DM and Artstor in a single “Master Archive” Folder on your computer hard-drive or college server space, separate from individual lectures. You may want to place this folder directly on your computer desktop for easy access. You can then copy & import any of these images into specific lecture presentations without searching for them on the internet or scanning them every time. Because they are digital they can be used many times and still remain in the electronic “file drawer” in the Master Archive. These should all be .jpg or .gif file types to function in any of the available presentation softwares. As you gather more images you may want to create sub-folders within the archive.

  • Keep your lecture notes and image presentations together in one spot on your computer. Learning to create and work with folders is the key. We suggest a file structure that looks something like this:

  • [File] Image Presentation File – one file containing your whole organized presentation – think of it like a box of slides or carousel. Please remember that you can only access or modify your presentation in the software that you created it in, and it cannot be opened by the other applications - so choose your application with forethought. (For the advantages and disadvantages of the different applications see the instruction sheets for each.)
    • If you organize your lecture in ArtStor’s Off line Viewer this will be a .prs file
    • If you organize your lecture in Power Point this will be a .ppt file
    • If you organize your lecture in Content DM this will be a .htm file

To project your presentation you can either copy the appropriate Image Presentation File to a CD or your college server account and run it from the classroom computer, or you can run it directly from your lap-top in the classroom.
